Privacy Policy

HireWRX is hiring software operated by Raging Rhino Group. Employers use it to post roles, review applications and conduct first-round interviews. This policy explains what we collect, why, and what we never do with it.

Mobile information and text messaging

This section governs every mobile number and messaging consent we hold. It applies in addition to everything else in this policy.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

We do not sell, rent, lease or trade mobile numbers. We do not use them to build advertising audiences, and we do not transfer a consent given to one employer to any other employer on the platform.

A candidate provides their mobile number when they apply for a role, and gives separate express written consent to be texted about that application. That consent is optional — the application is submitted and reviewed exactly the same way whether or not it is given. Consent may be withdrawn at any time by replying STOP to any message, which takes effect immediately and across every employer using HireWRX.

Who controls your information

When you apply for a job, the employerdecides what to collect and how to use it. HireWRX processes that information on their behalf and under their instructions. Requests to access, correct or delete an application are ultimately the employer's to decide, and we will route your request to them and support them in honouring it.

For information about the HireWRX service itself — account holders, billing, support correspondence — Raging Rhino Group is the controller.

What we collect

  • From candidates:name, email address, mobile number (if provided), the resume or documents you upload, your answers to the employer's screening questions, your interview transcript, and which posting or link you applied through.
  • Consent evidence: when you tick the messaging consent box we record the date and time, your IP address, your browser user agent, and the exact version of the disclosure you were shown. We keep this so we can prove consent was properly obtained.
  • From employers: account and contact details, company profile, job descriptions, interview criteria, hiring decisions and the reasons recorded for them.
  • Automatically: log data such as IP address, browser type and timestamps, used for security, abuse prevention and diagnosing faults.

We do not ask for, and you should not send us, government identification numbers, financial account details, or health information.

How your information is used

  • Delivering the service — receiving applications, scheduling and running interviews, and presenting results to the hiring team.
  • Sending application-related messages by email and, with consent, by text.
  • Producing an advisory summary and score of an application or interview for the hiring team to review.
  • Security, fraud and abuse prevention.
  • Meeting legal and recordkeeping obligations.

We do not use candidate information to advertise to you, and we do not use it to train general-purpose AI models.

Automated processing, and where it stops

HireWRX uses AI to summarise resumes, conduct a structured first interview, and produce a written report with a score. These outputs are advisory and are presented to a person for review.

HireWRX never rejects an application. No score, no interview result and no automated process can end a candidacy. Every decision to decline a candidate is made by a named person at the employer, who must record a reason. This is enforced in the software itself, not merely by policy.

Where local law gives you the right to request human review of an automated decision, that review has already occurred by design — but you may still contact the employer, or us, to ask about it. See our AI Transparency notice for details of what is assessed and how.

Who we share information with

We share information only with the employer you applied to, and with service providers who process it on our behalf under contract:

  • Anthropic — AI processing of application and interview content. Content sent through the API is not used to train their models.
  • Twilio — delivery of text messages.
  • Resend / Amazon SES — delivery of email.
  • Stripe — employer billing. Candidates never transact with us, and we never hold card details.
  • DigitalOcean — hosting, in United States data centres.

We may also disclose information where required by law, or to protect the rights and safety of users. If the business is ever sold or merged, your information may transfer as part of it — subject to this policy, and excluding mobile opt-in data and consent, which are never transferred.

How long we keep it

Application records are retained for as long as the employer's account is active, or as their own retention policy requires — employers are generally obliged to keep hiring records for a period after a decision. Consent and opt-out records are kept for at least four years, because we must be able to evidence them. When an employer closes their account, their data is deleted or returned within 90 days, except where law requires otherwise.

Your choices

  • Stop texts: reply STOP to any message. Immediate, and it applies across the whole platform.
  • Apply without texts: leave the consent box unticked. Your application is treated identically.
  • Access, correct or delete: email support@hirewrx.com. Tell us which employer you applied to so we can route the request. We respond within 30 days.

Depending on where you live you may have additional rights, including under the California Consumer Privacy Act. We do not sell personal information as that term is defined, and we do not share it for cross-context behavioural advertising.

Security

Traffic is encrypted in transit. Passwords are hashed. Interview links are single-use and time-limited, and only a cryptographic hash of each link is stored — a copy of our database does not yield a working interview link. Access to an employer's data is scoped to that employer and to the specific permissions each of their staff hold.

No system is perfectly secure. If we discover a breach affecting your information we will notify affected users and the relevant authorities as required by law.

Children

HireWRX is not intended for anyone under 16, and we do not knowingly collect their information. If you believe a minor has provided information to us, contact us and we will delete it.

Changes and contact
